SharePoint and OneDrive limitations
SharePoint and OneDrive have storage and service limits. You might encounter an error if you exceed one of these limits, like if you reach the maximum storage allowed in SharePoint.
Required: You need a Online Business Essentials, Business Professional, Premium Security, or Business Enterprise plan to access OneDrive and SharePoint.
SharePoint Limits
- Storage: 1 TB per organization plus 10 GB per license purchased
Note: You can’t purchase additional SharePoint storage.
- Storage for site collections: Up to 25 TB per site collection or group
- Site collection per organization: 500,000
- Number of users: Up to 300
- Number of users for Business Enterprise plans: Up to 500,000
SharePoint Service Limits
- Items in lists: Up to 30 million items
- Only 5,000 items can show in a list at a time. You'll get an error if you attempt to add over 5,000 items.
- Views can have up to 12 lookup columns.
- Items in libraries: Up to 30 million files and folders
- Views can have up to 12 lookup columns.
- File size: 250 GB
- You should use the sync app, and not the browser upload feature, to upload files that are larger than a few GB.
- File path length: 400 characters
- This limit applies to the combination of characters for the entire folder path and file name.
- Moving and copying across site collections: 100 GB per operation
- The web browser must remain open during this process.
- Sync (recommended): No more than 300,000 files in a single OneDrive or team site library
- You might encounter performance issues if you have 300,000 or more items across all libraries that you sync.
- Versions: 50,000 major versions and 511 minor versions
- SharePoint groups: Users can belong to 5,000 groups and each group can have up to 5,000 users. You can have up to 10,000 groups per site collection.
- Subsites: Up to 2,000 per site collection
- SharePoint hosted applications: 20,000 instances per organization
Note: The SharePoint URL is static, meaning we can’t change SharePoint subdomains (for example, if you want to change your netorg.sharepoint.com URL to something different).
SharePoint Service Limitations
- File sharing: You can only share to specific recipients when they’re in the same organization.
- For security reasons, we recommend limiting your file sharing to specific recipients or to the smallest group possible.
- Restoring files: Deleted files are kept in SharePoint’s Recycle Bin for up to 93 days. After 93 days, the files are permanently deleted.
OneDrive Limits
- Storage: 1 TB per licensed user
- If you have a Business Enterprise plan, you can see if you meet the requirements to increase OneDrive storage.
OneDrive Service Limitations
- File sharing: You can only share to specific recipients when they’re in the same organization.
